Does the software support different levels of security for a wide range of user types?

A designated “super-user” has the authority to define access levels by individual or job type. For example, a plans examiner should be able to view and edit all of the workflow steps related to his/her job, but they shouldn’t have the ability to change the results of inspections on a permit. The super-user sets the access levels that are appropriate for each job function.

Can the workflow be customized around my municipality’s processes and requirements?

At Meritage Systems, we understand that every building department’s processes are unique. For that reason, we have built a great deal of flexibility into the design of our software. Your list of required inspections, inter-departmental check-offs, fee schedules, workflow steps, and notifications are among the items that can be configured to match your department’s processes.

Is it easy to export data from PermitCore?

A wide range of information can be exported from our software and into programs such as Excel and Crystal reports.

We have a one-button billing output to interface with internal accounting programs as a way to facilitate month-end financial reporting.

We also have a one-button assessor data output to provide the assessor with the information they need for accurate property valuation.

Can I attach files, plans, photos, or documents to a permit record?

Important documents and photos related to a permit can be easily attached to a permit record.

Plans may also be attached to the permit, although it may be necessary to set up additional storage space specifically for that purpose if the drawing files are large.

What are the system requirements?

The system requires a computer with an internet connection and internet browser: Internet Explorer 10 and later, Google Chrome, and Firefox, are acceptable; some features of the software require that Adobe Flash be installed.

Are there safeguards that prevent historical data from being overwritten or lost?

Because we understand the importance of an audit trail when it comes to municipal records, we have set up our software to retain historical entries when new information is recorded.

For example, if inspection results are changed for any reason, the original entry as well as the new status are stored as part of the permit history.

Since users must sign in to enter information, the name of the person updating the recorded is stored with each entry.

How do I get my data from my current software moved into PermitCore?

Data imports can be accomplished by working with your Meritage Systems representative. Our software is designed to import address files, permit records, and contractor lists.

What kind of reports can I generate from the system?

The Report Library provides a wide variety of reports. If one of these isn’t quite what you’re looking for, you can create a custom report or modify one of the report templates to suit your needs.

Can the workflow be designed to prevent a permit being moved to the next step in the process if a prior step hasn’t been completed?

Because the workflow is customizable, the software can be set up with checks in place to prevent a project from moving past a certain step if prior steps have not been completed.

By linking items and steps in the workflow for example, it is possible to prevent a rough inspection from being scheduled unless an engineer’s letter for the foundation has been received.

It is also possible to set the workflow up in a way that prevents the Permit or Certificate of Occupancy from being issued if fees are owed.

How is my data backed up and protected from loss?

Our solutions are supported by one of the top cloud hosting services in the world, with full redundancy.

Back-ups of your data are done on a daily basis with back data kept on a daily/weekly/monthly rotation.
